We are seeking a highly organized and people-oriented Administrative Supervisor to oversee daily administrative operations, supervise administrative staff, and ensure operational efficiency across departments. This role is responsible for managing personnel, implementing standardized procedures, coordinating cross-departmental communication, and maintaining accurate records. The ideal candidate is a strong leader with excellent problem-solving skills and the ability to act as a bridge between staff and upper management.
Responsibilities
- Oversee daily duties and assign tasks to administrative personnel.
- Conduct performance analyses and provide constructive feedback to team members.
- Manage personnel issues, including leave requests, attendance tracking, and disciplinary actions.
- Support recruitment efforts by participating in hiring, interviewing, and conducting new employee orientations.
- Address team conflicts promptly and offer guidance for improvement.
- Create, document, and implement standardized operating procedures (SOPs) and workflows to improve efficiency.
- Manage office supply inventory and ensure office equipment is properly maintained.
- Organize and maintain accurate physical and digital records and filing systems.
- Coordinate with other departments (HR, Warehouse, Production, Logistics) to complete projects within budget and timeline.
- Identify operational bottlenecks and recommend process improvements.
- Act as the primary liaison between administrative staff and upper management to ensure smooth communication.
- Prepare and distribute internal communications, memos, and reports.
- Support management with meeting coordination, scheduling, and documentation.
- Ensure company policies and procedures are understood and followed by all administrative staff.
- Handle confidential information with professionalism and discretion.
- Perform other administrative and supervisory tasks as assigned by the Department Manager.
Requirements
- Bachelor's degree in Business Administration, Public Administration, Human Resources, or a related field.
- Minimum 4+ years of experience in administration, office management, or supervisory role.
- Proven experience supervising staff and managing personnel issues.
- Strong understanding of office operations, record keeping, and workflow optimization.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong problem-solving and conflict resolution abilities.
- Ability to work independently and under pressure.
